Personal Assistant to CFO

Position Overview:

  • The Personal Assistant plays a critical role in supporting high-level coordination and managing communication. This position involves a combination of administrative, organizational, and communication skills to efficiently manage daily tasks and enhance smooth administrative work. The Personal Assistant serves as a key liaison between the CFO, the Office of the CFO, and other departments. Discretion, confidentiality, and the ability to handle sensitive information with professionalism are essential traits for this role.

Job Descriptions:

1) Calendar and Schedule Management:

  • Coordinate and manage the CFO and Office of the CFO calendar, scheduling meetings, appointments, and travel arrangements.
  • Prioritize and optimize the CFO and Office of the CFO time to ensure they attend important events and meetings promptly.

2) Communication and Correspondence:

  • Draft, review, and edit correspondence, reports, presentation slides, and analyses as required.
  • Gathering necessary data, organizing information logically, and ensuring accuracy and clarity in all documents and presentations.
  • Arranging expense claims involves submitting requests for reimbursement of expenses incurred while performing duties for the organization.

3) Meeting Coordination:

  • Organize, prepare, and coordinate meetings, conferences, and events for the CFO and Office of the CFO, ensuring all necessary resources are available.
  • Take meeting minutes, follow up on action items, and ensure timely completion of tasks.

4) Travel Arrangements:

  • Plan and coordinate domestic and international travel for the CFO and Office of the CFO, including booking flights, accommodation, and transportation.

5) Information Management:

  • Maintain and organize confidential records, documents, and files, ensuring easy accessibility and security.
  • Conduct research and gather information for reports, presentations, and decision-making processes.

Requirements:

  • Proven experience as a Personal Assistant or similar administrative role, supporting senior management.
  • Excellent communication and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • High level of discretion and confidentiality.
  • Proficiency in office software and tools, such as Microsoft Office Suite, and Microsoft PowerPoint.
  • Strong attention to detail and problem-solving skills.
  • Flexibility to adapt to changing priorities and demands.
  • Fluency in English (added advantage if can speak Mandarin).
